Code of Conduct

General

If you aren’t allowed to do it outside of the convention, it isn’t allowed at the convention.

Fandom Events strives to create an environment that caters to the fan community but would like to remind attendees that they are still expected to be law-abiding and responsible. Attendees who violate these rules may be subject to expulsion from the convention without a refund and may be banned from attending again in subsequent years.


Behavior
All Fandom Events attendees, guests, vendors, staff, and volunteers are expected to interact respectably and positively. We are all here to have a great time, so please use common sense and be courteous.

 

We are looking to provide a safe, secure, and pleasant environment, these activities are not allowed at Fandom Events:

  • Engaging in disruptive and unsafe behavior that disturbs or endangers the attendees, guests, vendors, staff, or volunteers.

  • Physical or verbal harassment of the attendees, guests, vendors, staff, or volunteers.

  • Any activities deemed to be nuisances to the convention or the convention premises, including excessive noise or behavior considered generally disruptive.

  • Any act which could result in substantial risk or harm to people or property.

  • Sexual misconduct, such as indecent exposure, offensive touching, or sexual harassment.

  • Laser pointers, laser-aiming devices, or similar devices, may not be used in public unless you are officially sanctioned to lead or present a convention seminar, workshop, display, or other convention-sanctioned event in which a laser is needed.

  • Any literature distribution without prior permission of Fandom Events.

  • In the interest of respecting the rights of people who want to be left alone, the following behaviors are considered unacceptable without prior consent of the recipient:  hugging, groping, back-slapping, kissing, or other unwanted physical contact. This also includes unwanted advances or other similar forms of behavior considered to be harassment.

  • Engaging in any activity prohibited by law.

 

All individuals whose actions violate these rules will be asked to stop such actions. Fandom Events reserves the right to require anyone violating these rules of conduct to leave the event. Fandom Events may withdraw permission for a person or persons to re-enter the event if that person continues to violate these rules.

 

Any violation of the rules of conduct which involves activities prohibited by law will result in the notification of the proper authorities.


Costuming, Props and Dress Code
Cosplay is highly encouraged, but some restrictions apply:

  • Footwear is required (do not come barefoot).

  • Costumes that are deemed to be indecently revealing (the “no costume is not a costume” principle), as well as costumes or props that are deemed to be offensive or otherwise unacceptable by Fandom Events standards, are prohibited. An attendee who is wearing a costume or carrying a prop that does not meet these requirements may be asked to change into either street clothes or another costume.

  • All large props or any props resembling weapons (including guns, swords, spears, whips, bows, etc.) must pass through a weapons check and be verified and peace-bonded by the Fandom Events Weapons Master to ensure they are safe. Failure to do so may result in expulsion from the convention without a refund. Please refer to our Weapons Policy for more details.


Photography and Video
Please ask our convention attendees for their permission before taking their photographs. If they say no, please do not take a photo of them anyway.

Take special care not to obstruct the flow of traffic.

Photography and recordings may be permitted during workshops, panels, and guest sessions and in the Artists’ Area at the discretion of the host(s)/artists involved. If you are unsure whether photography or videography are allowed during a particular event or in a particular area, ask permission from Fandom Events Staff first.

Flash photography will not be allowed during Guest signings or Celebrity Q&A sessions.

Photography and video of merchandise in the Dealers’ Area is prohibited unless you’ve obtained consent from the vendor.

The convention reserves the right to prohibit photography and/or videotaping of any event or area.

Convention staff may review and/or demand the deletion of any unauthorized photographs or video recordings.

HARASSMENT POLICY

Fandom Events is a safe place for fans to interact with each other, their favorite creators, and celebrities, and generally be themselves. This means we expect it to be a safe environment for fans from any ethnicity, creed, religious background, political background, gender, gender identity, sexual identity, sexual orientation, fandom, etc. We do not tolerate harassment in any form. This includes, but is not limited to: physical assault, verbal harassment, sexual harassment, stalking, unwanted physical contact, unwanted advances, or inappropriate photography.

 

Fandom Events does not tolerate physical or verbal harassment of the attendees, guests, vendors, staff, or volunteers. Harassment can take many forms. It may be but is not limited to, words, signs, offensive jokes, cartoons, pictures, posters, pranks, intimidation, physical assaults or contact, or violence. This includes comments and statements made via email, on websites, or on any of our social networks.

 

If it is determined – either by observation or by complaint – that an individual or group has harassed another attendee, any or all of the following things may occur. That individual or group may be:

 

1. Warned to cease and desist;

2. Asked to leave the convention, or;

3. Banned from the convention for a period of time to be determined by Fandom Events staff.

Health and Safety

Large Event Steps & Guidelines

We are committed to having a masking and health policy which complies with state and local legal requirements.  Should an attendee refuse to comply with our policies, they will be in violation of our Code of Conduct and be ejected from our event.

 

The Centers for Disease Controls and Prevention (CDC) released guidance to assist businesses in making decisions regarding reopening during the COVID-19 pandemic. Besides continuing to follow the recommendations issued by Colorado and local health departments when determining the most appropriate actions to take, Fandom Events has focused on these five steps:

1. Considering Preliminary Questions Before Reopening

According to the CDC guidance, we have considered three questions when deciding whether to reopen:

  • Promoting healthy hygiene practices;

  • Intensifying cleaning, disinfection daily before, during, and after event hours

  • Affordable event face coverings and numerous sanitation stations 

  • If social distancing continues, the event will stagger lines to 6 feet per person and require face coverings for all participants

  • Training all staff and volunteers in the above safety actions

 

3. Implementing  Safeguards For Participants

  • Encouraging staff, members, exhibitors, and guests to take a vaccine. 

  • Encouraging staff, members, exhibitors, and guests who are sick to stay home;

  • Establishing routine, daily employee health checks the week of the event and during the weekend

  • Creating and testing emergency communication channels for staff; and establishing communication with state and local health authorities

 

4. Preparing Our Physical Event Space 

The final step involves partnering with the venue to prepare our physical venue for attendees, whom we refer to as Members. The CDC has released guidance for cleaning and disinfecting public spaces, workplaces, businesses, schools, and homes.

 

We have reviewed this guidance when implementing cleaning procedures at our facilities after shelter-in-place orders are lifted. For example, for outdoor areas, we will maintain existing cleaning practices. As the CDC notes, viruses are killed more quickly by warmer temperatures and sunlight. As the event occurs in September, we highly encourage members to enjoy their stay at the property by daily utilizing their outdoor areas, such as the patio and pool.

 

For indoor areas that have been occupied within the last seven days, the CDC recommends that frequently touched surfaces and objects made of hard and non-porous materials (glass, metal, or plastic) be cleaned and disinfected more frequently. Frequently touched surfaces and objects made of soft and porous materials, such as carpet, rugs, or material in seating areas, will be thoroughly cleaned or laundered. If possible, the CDC recommends considering removing soft and porous materials in high traffic areas. Surfaces and objects that are not frequently touched will be cleaned on a routine basis. These steps are performed by the event property.

 

5. Maintain Vigilance

Our work is not completed once we open our doors and welcome back our members, exhibitors, and celebrity guests. Fandom Events and the property will maintain routine cleaning and disinfection procedures after reopening to reduce the potential for exposure. Finally, we will continue to monitor COVID-19 in our area, and if necessary, be prepared to close our facilities quickly if another outbreak occurs.

Steps to Plan, Prepare, and Proceed with a Mass Gathering

The details of our emergency operations plan are based on the size and duration of our event, demographics of the participants, complexity of our event operations, and type of on-site services and activities provided by the State of Colorado, City of Aurora,  and the venue.

 

Fandom Events will review the emergency operations documents provided by the State of Colorado, the host city, and the event team at the venue to discuss the emergency operations plans and determine how they may impact aspects of our event, such as personnel, security, services and activities, functions, and resources.

 

We will work with the emergency operations coordinator or planning team to prepare for the key prevention strategies outlined in the CDC guidance and develop a contingency plan that addresses various scenarios  which we may encounter during the conclusion of the COVID-19 outbreak.

 

Fandom Events will establish relationships with key community partners and stakeholders in the host city to form key relationships for our events and include relevant partners such as the City's public health department, community leaders, vendors, suppliers, hospitals, the venue, airlines, transportation companies, and law enforcement.

 

Fandom Events will collaborate and coordinate with them on broader planning efforts and clearly identify each partner’s role, responsibilities, and decision-making authority. Fandom Events will contact the City's public health department for a copy of their outbreak response and mitigation plan for our community, and if necessary, participate in community-wide emergency preparedness activities.​

 

Fandom Events will promote the daily practice of everyday preventive actions by using health messages and materials developed by credible public health sources such as CDC or our local public health department to encourage our event staff and participants to practice good personal health habits.

 

Fandom Events will display signs (physical and/or electronic) throughout the event to provide frequent reminders to participants to engage in everyday preventive actions to help prevent the spread of COVID-19.

 

This communication will include:

  • Mandatory face coverings if issued by venue, local, or state guidelines.

  • Stay home when you are sick or in a higher risk group 

  • Wash your hands often with soap and water for at least 20 seconds, especially after going to the bathroom; before eating; and after blowing your nose, coughing, or sneezing. If soap and water are not available, use hand sanitizer that contains at least 60% alcohol. 

  • Hand Sanitizer stations will be placed frequently throughout the venue.

  • Avoid touching your eyes, nose, and mouth with unwashed hands.

  • Fandom Events and the venue will clean frequently-touched surfaces and objects daily.

  • Maintain appropriate social distancing and limit physical contact. Now is a great time to practice ojigi , or bowing! 

  • Fandom Events and the venue will  provide COVID-19 prevention supplies to event staff and participants. 

    • Examples include hand sanitizer that contains at least 60% alcohol, tissues, trash baskets, disposable face-masks, and cleaners and disinfectants. The venue will clean frequently-touched-surfaces and objects with detergent and water prior to disinfection, especially surfaces that are visibly dirty.

  • ​The venue will routinely clean and disinfect surfaces and objects that are frequently touched. 

    • Note: Any participant who shows signs of illness may be asked to have their temperature taken and asked to leave the event with their membership revoked

    • Note: People in higher-risk groups should consult with their healthcare provider about attending large events and should consider staying home

  • Fandom Events will discourage people who are sick from attending in person. This will include electronic messages sent to attendees prior to travel to the event as well as messages requesting that people leave if they begin to have symptoms of COVID-19, which include fever, cough, and shortness of breath. Attendees should be encouraged to seek medical advice promptly by calling ahead to a doctor’s office or emergency room to get guidance. 

  • If any participant becomes sick at our event, we will separate them from others and require them to leave the event as soon as possible. 

  • Fandom Events will work with the local public health department and nearby hospitals to care for those who become sick. If needed, contact emergency services for those who need emergency care. Public transportation, shared rides, and taxis should be avoided for sick persons, and disposable face-masks should be worn by persons who are sick at all times when in a vehicle.     • Note: Providing an event participant with a disposable face-mask to wear does not replace the need for that person to leave as soon as possible, stay home, and seek medical advice. Wearing a disposable face-mask while participating in a large event such as the event is not a sufficient infection control measure.

 

Fandom Events will work closely with local public health officials to assess local capacities in the area. During a COVID-19 outbreak, resource limitations among local healthcare systems and/or law enforcement can influence the decision to postpone or cancel our event., and Fandom Events will provide a virtual membership option.

Craftsmanship

  • Contestants must have altered or constructed more than 50% of their own costumes. Store-bought costumes are allowed in the show but will not qualify for placement.

  • If the Contestant's cosplay was made by someone else, that person must be present at the competition. The cosplay creator will win the award, if any, not the cosplay model.

  • Cosplay staff and judges may disqualify any entrant at any time for not meeting craftsmanship requirements.

 

Pre-Judging

  • Contestants are required to be pre-judged before the contest begins. Contestants who fail to appear for pre-judging will not be allowed to walk the stage.

  • All contestants are required to sign up online by following the Cosplay Contest link. There are no walk-ups.

  • To preserve the quality of the cosplay, the contestant may be brought in on a hanger or mannequin and is not required to be worn during pre-judging.

  • Contestants who have not been pre-judged when lineup begins for the competition will be disqualified for placement.

  • If the Contestant did not make the cosplay, the creator must be present during pre-judging to answer questions.

Join Us

Volunteers must be 18+ and agree to a basic background check. Approved volunteers receive FREE admission to Enchanting Shadows for volunteering two, 4-hour shifts.

Volunteer also receive the following:

  • Exclusive Volunteer Ribbon

  • Early access to Merch Store

  • Complimentary autograph

  • Dinner for assisting with load-in and load-out

  • Exclusive t-shirt

Open Positions

LI-LO

Load-In / Load-Out assists with unloading the trailer and setting up the majority of the convention. This volunteer category receives the most perks and benefits.

Social Media

Social Media influencers use their network on Bookstagram and other platforms to get the word out about the convention. As more attendees use their personalized codes, so too increases the perks of the position.

Ambience

These volunteers assist with creating the ambience and environmental story-telling sets of Enchanting Shadows. Volunteers must be able to lift up to 40lbs. Set design or decorating experience is a major plus!

Programming

From BDSM panels, to shibari rope demonstrations, to workshops on kinkplay, there are dozens of events to maange over the weekend. Assist our programming team by keeping all rooms running smoothly.

Guest Services

Keeping our authors, influencers, and sponsors happy is a daunting task. Volunteers in GS manage line control, green room, and create a welcoming atmosphere for our special guests.

Nightlife

You will play a crucial role in ensure the smooth operation of our convention's evening activities. This includes managing and assisting with a range of events that bring our dark romance and fantasy themes to life, from immersive roleplay sessions to themed parties and interactive quests.
